What we collect
HostPilot collects only what we need to run your hosting business: your account details (name, email, avatar), the properties you connect, and bookings synced from Airbnb, VRBO and Booking.com — including guest names, dates, prices, and the messages exchanged between you and your guests through our inbox.
We also store the configuration you give us — house rules, WiFi info, check-in instructions, pricing rules — so AI can write accurate replies and suggestions on your behalf.
How we use it
Your data powers exactly the features you signed up for: drafting guest replies, scheduling messages, suggesting nightly rates, generating reviews, and showing you analytics about your own business. Nothing else.
Guest message content is sent to Anthropic Claude to produce AI drafts. Anthropic does not train models on your data. We never sell your information to anyone, full stop.
Data retention & deletion
You can export everything from Settings → Account at any time. To delete your account, hit the button in the same screen — we honour every deletion request within 30 days. Backups expire within an additional 60 days.
We keep anonymised, aggregate usage data (e.g. "how many messages were drafted this month") indefinitely so we can improve the product.
Your rights (GDPR & friends)
You have the right to access, correct, export, and delete your data, and to lodge a complaint with your local supervisory authority. Email us — we'll respond within five business days, usually faster.
Cookies
We use a single session cookie for authentication and PostHog for product analytics (page views, feature usage). No tracking ads, no cross-site profiles.
